Sponsorship an Effective Public Relations Strategy

Recently, my colleague Dennis, and I stopped at a coffee and donut shop to discuss business strategy. During that visit, I noticed that the display which included photos, trophies, and memorabilia of a little league that they sponsored was no longer there. The back of the establishment that was a TV lounge with pillowed chairs was closed off, obviously due to the Covid-19 pandemic. Those of us that frequented the establishment were impressed by the owner’s support of youth sports. Sports events are the most popular by far at an estimated 69% of sponsorship.

As the states of New Jersey and Pennsylvania start to relax restrictions in the coming months, sponsorship is a PR strategy that enhances the reputation of a business within its community. Sponsorship is one of the fastest-growing forms of marketing promotions.  Causes require a for-profit business to partner with a non-profit organization. This strategy includes contributing a portion of the sales to the non-profit.  The attendees of the event are informed that a set percentage of sales will be donated and a deadline given for the purchase. Sponsoring events to improve the stature of a company by being linked to a worthy cause, and resulting in increased sales and profits.

Another advantage of sponsorship is that it is a cost-effective way of reaching your targeted customers. With traditional advertising, you are paying the media to promote your products to a mass audience of consumers that have no interest, this is referred to as the shotgun approach. Sponsorship allows you to target the customers that you are trying to reach.

Courting local media gives the non-profit and your company coverage that is free advertising with much more credibility than paid promotions.

A hypothetical example is a sporting goods company specializing in tennis equipment, sponsoring a tennis tournament, supplying equipment to top players for endorsements, and donating a percentage of sales to the charity fundraiser. This is a WIN-WIN for all parties involved.

Public Relations for Small Business

The role of public relations is to foster goodwill in the community and gaining public approval for your organization. The long-term goal of PR is to manage the reputation of the company.

Different PR tactics can be implemented by entrepreneurs to gain acceptance by the community they serve.

Press release, information issued to print and broadcast outlets.

Press kit, a package of publicity materials informing the press at staged events.

Website, containing information about the organization. Company blog to facilitate relationships with their consumers and other publics.

Publicity, the generation of news about a person, product, or service that appears in the media.

Community involvement, a local activity sponsoring or participating in an event.

Public speaking, giving speeches to local organizations, at events, meetings, and conferences. It is a very powerful way of presenting your operation and what you represent.

In future articles, we will discuss how to use these tactics, but in this post, free releases and the press kit will be covered.

The press release (or news release) is the most widely used PR tool, consisting of information issued to generate or shed light on a subject of interest. Topics may include the announcement of a product launch, new store opening, or community involvement by the firm.

A press kit (or media kit) is an excellent tool to announce the information for your press release. Traditionally the press kit was a folder that enabled the business person to present printed information, photos, contact information, and collateral information. Today, the press kit is digital using a flash drive, CD, DVD, and video.

Beware of Scams and Fraud Schemes

The Office of Inspector General recognizes that we are facing unprecedented times and is alerting the public about potential fraud schemes related to economic stimulus programs offered by the U.S. Small Business Administration in response to the Novel Coronavirus Pandemic (COVID-19).  The Coronavirus Aid, Relief, and Economic Security Act (CARES Act), the largest financial assistance bill to date, includes provisions to help small businesses. Fraudsters have already begun targeting small business owners during these economically difficult times.  Be on the lookout for grant fraud, loan fraud, and phishing.

Scams and Fraud Schemes

Grants

  • SBA only communicates from email addresses ending in @sba.gov. If you are proactively contacted by someone claiming to be from the SBA, who is not using an official SBA email address, suspect fraud.

Loans

  • If you are contacted by someone promising to get approval of an SBA loan, but requires any payment up front or offers a high interest bridge loan in the interim, suspect fraud.
  • SBA limits the fees a broker can charge a borrower to 3% for loans $50,000 or less and 2% for loans $50,000 to $1,000,000 with an additional ¼% on amounts over $1,000,000.  Any attempt to charge more than these fees is inappropriate.
  • If you have a question about getting a SBA disaster loan, call 800-659-2955 or send an email to disastercustomerservice@sba.gov.
  • If you have questions about other SBA lending products, call SBA’s Answer Desk at 800-827-5722 or send an email to answerdesk@sba.gov.

Phishing

  • If you are in the process of applying for an SBA loan and receive email correspondence asking for PII, ensure that the referenced application number is consistent with the actual application number.
  • Look out for phishing attacks/scams utilizing the SBA logo.  These may be attempts to obtain your personally identifiable information (PII),to obtain personal banking access, or to install ransomware/malware on your computer.
  • Any email communication from SBA will come from accounts ending with sba.gov.
  • The presence of an SBA logo on a webpage does not guaranty the information is accurate or endorsed by SBA.  Please cross-reference any information you receive with information available at www.sba.gov.

The current trend in small business marketing communications is video. I’m sure that most of us can agree that we enjoy watching videos on our computers. We view videos for entertainment, learning new skills, and research. YouTube and Vimeo offer a plethora of videos about many topics. An example is my recently canceling my gym membership and watching TRX exercise videos to make sure I’m using proper form with my at-home exercises.

If you have a website you can place your video on your landing page explaining what you do and the benefits that you can provide to your customers. There are many platforms available for businesses to highlight their videos and create brand awareness. Social networks are ideal platforms for communicating and engaging prospective buyers. Get your customers’ attention by emailing a short video or a link.

There are different levels of production, the first being the advertising agency. These agencies will give you the most sophisticated and polished product with excellent results, but there is a high cost.

Some companies will produce a promotional video for under $2,000. Most of these companies are staffed by videographers, not Don Draper’s (Mad Men), who will need your guidance and input.

The easiest and most cost-efficient method is to use software that is available online. The cost of producing a video has become negligible, and the technology ranges from moderate to very easy depending on the software. The easiest way to create a marketing video is to use a template format that uses photos to tell your story and a VoiceOver.

One of the simplest editing tools to use is Animoto < https://animoto.com/business/promo-video >. Animoto will walk you through the production process starting with a storyboard template where you can create your big idea. You can upload your photos and video clips or select from their stock library. Edit the video and customize it to fit your organization’s identity. Viola, you have produced your video and are ready for distribution.

In my previous career, I taught marketing at a major university. One of the courses that I taught was Advertising. I am a firm believer in hands-on learning and my students were required to produce a promotional video for a local small business as their final project. Successful entrepreneurs have a special talent for identifying unique business opportunities. They can identify market trends and navigate their resources to capitalize on these market transformations. When a gap or problem is identified a business owner should seek a solution, such as a product or service to fill this void.

All market indications are that this pandemic will be with us for many months, possibly another year. Some of the results of the changes we are experiencing will be permanent. Many companies will be downsizing their organizations. Employees will continue to work from home saving companies huge sums of money in office rentals. Commercial property owners in downtown city locations will have to reinvent their business model. They will have to convert their offices to other uses or perish. Recently, I heard about a motel that transfigured its rooms into mini-office suites. This is an example of a motel owner taking advantage of the market change to fill his empty rooms to long term leases.

If you’re in a business that has been affected by the current economic downturn try brainstorming with your partners and employees and discover an opportunity that can be beneficial to your operation. Use social media to get the pulse of your customers’ wants and needs. There is a wealth of information on the web, trade publications, and industry reports if you search and analyze your findings.

Once you have found a target opportunity the next step is to formulate a marketing strategy. When developing your strategy analyze financial startup costs, target market size, and market potential.

Adapting to the New Marketplace

During this chaotic economy, businesses are adopting creative strategies to stay afloat. We all optimistically hope that business will rebound by the summer of 2021. When and if the marketplace bounces back, the business environment will be changed. The consumer is a creature of habit, and the method of purchasing goods and services has changed during the pandemic.

Online purchasing has increased exponentially creating opportunities for retailers to sell goods via the internet causing the demise of many large retail chains to shrink and eventually go out of business.

Gyms have gone out of business due to membership cancellations. Exercise equipment companies like Peloton, Nordic Track, and Mirror are heavily promoting their home gym equipment that in some cases daily online classes. This is an example of blending a product with a service. Sales of home fitness equipment have skyrocketed. Peloton stationary bike currently will take 8 to 10 weeks to ship.

Business owners have to reevaluate their position in their markets and adapt to the changing economy.

Merging Your iPhone and Windows PC

Most of us have a Microsoft Windows PC and an Apple iPhone that operate in two different ecosystems.  There are several features that we use on both devices that up until recently were incompatible such as the contacts, calendar,  photos, and email.  You probably have some programs which you prefer to use.

Both Apple and Microsoft have clouds that allow users to access their information remotely and store their data as a back-up drive.  It is estimated that by 2025, 80% of data will be in the cloud.  The two largest clouds are Microsoft One Drive and Apple’s iCloud.

Microsoft OneDrive
1. Save your files and photos to OneDrive and access them from any device, anywhere.
2. Back up and protect files and photos.

3. Stay connected, share your documents and photos with friends, and family, collaborate in real-time with Office apps.

There is a Microsoft OneDrive app available in the Apple app store that can be downloaded to your iPhone or iPad. This will give you access to your OneDrive programs on your iPhone.

In addition to the office and photo apps, iCloud also has reminders, find my phone and find my friends.

I am writing this article in iCloud on a Chromebook which will be loaded into the WordPress blog from a Windows computer.  This article will give you some ideas on how these incompatible systems can work together.

A decision you should make is which programs do you prefer to use from these operating systems.  Like many of us, I have several email accounts that have become tedious.  I have forwarded all my emails to one account that makes it easier to control.  If you prefer Microsoft Outlook for your email, contacts, and calendar you can download the app on your iPhone.  After you log-on to the Outlook app it will sync with your existing account.

My advice is to find the programs you are most comfortable using and phase out the others (if possible) and streamline your selection for efficiency.

Cloud Kitchens, also known as Ghost kitchens are a new phenomenon in the foodservice business. During these times restaurants are finding it difficult to stay afloat. Many eateries have offered outdoor dining to pick up business, but this will slow down and possibly disappear as the winter approaches.
Recently, I called in an order to a local pizzeria and when I arrived I was startled to see all the cars double-parked in front of the retail location. Upon entering, I stepped into a long line of patrons waiting to pick up their dinners. The line circled around the tables in the restaurant and the few customers eating in were surrounded by the customers who came to pick up their meals. The individuals eating looked annoyed by the situation and probably would not dine there again.

This is an example of a popular Italian restaurant surviving in this climate because the food is excellent. In order to survive the current crisis and become more profitable, the owners should consider converting this pizza restaurant to a Cloud Kitchen format. When I called in my order I was told it would be ready in 20 minutes, I arrived 25 minutes later. Having to stand in line for approximately another 20 minutes was annoying. If the owner of this establishment would convert to the Ghost Kitchen concept he would have a smoother operating business and certainly more satisfied customers.

Changing the format for a traditional restaurant to a Cloud-based requires a new mindset. If the owner decides to leave the current location they can lease a smaller space in a less visible location not requiring parking. This will require only kitchen staff. No longer a need for dishes, glasses, or utensils, just disposable packaging. These are all cost-saving changes that will help increase the bottom line.

Restauranteurs will need to create a marketing strategy that will include keeping their current customers and bringing in new customers. As we have all heard time and again that social media marketing is the way to promote your business. The one drawback is how do customers find your webpage? This is where traditional time-tested methods still work such as direct mail, circulars, and if you can afford radio spots referencing your web presence.
Cloud Restaurants need delivery service and there are several well-known providers that they can partner with. GrubHub is probably the most well known, Uber Eats and DoorDash have apps that can be download. The benefit of these delivery services is that the restaurant does not have to invest in additional software or add staff to deliver their meals. The delivery services also promote the restaurant’s brand by featuring their menus on their websites and apps. This gives the restaurant a wider exposure to drawing new customers.

Another alternative is a hybrid location combining both traditional and cloud-based operations. Using the aforementioned pizzeria which has a big following they could scale back the dining area and erecting a partition. This would allow the take-out customer an area to stand and adding more cash registers to process customers. Also, the few people dining in the restaurant would not be annoyed.
